Element451Integrations Guide

Parchment Template

Updated Article

Overview#

Parchment is a tool to help students, institutions, and employers to request and receive documents. If you are wanting to bring the documents in from Parchment, this guide will help you get started building that process. Your institution must be on the Parchment Receive Premium level to receive documents with an index file via SFTP.

Data Connectors#

Parchment interface will let you add a SFTP connection. This is where you can add the SFTP Element451 hosts and provided you during the implementation phase. We recommend building a Parchment folder in your SFTP. You can generate a separate username and password with access to a specific folder within your Element451 instance.

Import#

There will be two assets, a data import task and a document import task. It is important to build a data import task in the event that a student has submitted documents but is not a record in your Element451 instance.

Step 1: Data Import Task

Create a new import task and select the folder in the SFTP where Parchment is dropping off the documents. If you are wanting to schedule this process, you can use dynamic names in the path with the date:now token. Typically Parchment is delivering every hour, pending on how your folder names are set up will determine your dynamic name. If the folder path name looks like Parchment/Parchment_College_Transcripts_0107c430_20261103_070007_0.zip , for example, then you can set up a dynamic path name to look like Parchment/Parchment_College_Transcripts_*_[date:now,format=Ymd_H,timezone=PST]*_*.zip and have the file name be index*.csv . Then the scheduled import would pick up the corresponding index file for that hour. NOTE: We have not been able to confirm the timezone of the zip folder, please check with your Parchment support to confirm what time the timestamp is and adjust the token accordingly.

Once setting up the import’s source, on the mapping screen you can apply the Parchment Index File template. This template is to help get you started. Feel free to map additional things like address, phone number, source information. Some schools have opted for the data import to only create new profiles with contact information mapped to prevent potentially overwriting existing contacts with up to date contact information.

Make sure you have the toggle on for “When no matching files are available, execute the next scheduled task run.” as Parchment will not deliver a folder if there are no documents that hour.

Step 2: Document Import Task

Following the processes in the help article (opens in a new tab), after creating the data task, a document task will be the next step. When setting up the document task, it will be important to toggle the “Use Index File” to on. The index file settings and document types are found below. If you are wanting to schedule this process, you can use dynamic names in the path with the date:now token. Typically Parchment is delivering every hour, pending on how your folder names are set up will determine your dynamic name. If the folder path name looks like Parchment/Parchment_College_Transcripts_0107c430_20261103_070007_0.zip , for example, then you can set up a dynamic path name to look like Parchment/Parchment_College_Transcripts_*_[date:now,format=Ymd_H,timezone=PST]*_*.zip . Make sure the index file is using the wildcard version index*.csv . Then the scheduled import would pick up the corresponding index file for that hour. NOTE: We have not been able to confirm the timezone of the zip folder, please check with your Parchment support to confirm what time the timestamp is and adjust the token accordingly.

Make sure you have the toggle on for “When no matching files are available, execute the next scheduled task run.” as Parchment will not deliver a folder if there are no documents that hour.
