FAQ
How do I update my Common App Template for the new cycle?
Make sure you have received information from an Element451 team member saying your template is ready to be reviewed. If you have not received that communication, it could be because we haven’t received files yet from Common App. Once you get contacted by one of our team members, you can follow this tutorial video (opens in a new tab) on how to review and update your template. Also check out our dedicated tab for yearly updates to the integration.
Can I update the Common App application import while it is live?
Yes! At any point, you can go into the import task in your Element451 instance and edit the what fields are mapped from the Common Application. After you have made the edits, you are good to go. You don’t need to set up the schedule or save (our system auto-saves). Since we use an external scheduler for the Common App, you don’t need to use the import scheduler and the new changes will kick in the next time the import runs.
What if Common App uses different dropdown options from my institution?
We know how important it is to keep data clean, and imports are the easiest way to bring bad data in. During implementation, the Element451 team member working on your template will tediously ensure the data sources from Common App line up with the data sources you use in Element451. Our team will either apply the transformations to the the import, taking the Common App value and swapping in your recognized value, or create crosswalk tables in your Regular Data Sources and use those in a formula on the imports.
How can I check that the import is running?#
All of the tasks will be found under the Import + Export feature. You can either search for the Common App import by name, or go to the folder off to the left hand side that will have all your Common App related imports. Like other import tasks, you can open and view the run history where all previous runs and their outcomes are listed.
What do I do if a record was skipped?
When you view the run history and see that a record was skipped you have a few options. First, you should view the details of the skipped record to see if it was a invalid data value or a match error.
For Invalid Data Values:
You will need to download the file from the history folder for Common App in your Element451 provided SFTP and clean up the data that was invalid. Once cleaned, you’ll need to import the cleaned file. In the Import + Export feature in Element451, make a copy of your Common App import and select the cleaned file from your computer and manually run the task to bring the record in immediately.
For Match Errors:
You will need to download the file from the history folder for Common App in your Element451 provided SFTP and identify the record that was skipped. Search your Element451 instance for the duplicate records, the match error happens when there are multiple records in Element451 with identities of the incoming record and so the system doesn’t know which record to update. Correct the duplicate records in your Element451 instance. Once the merge has happened, you’ll need to rerun the Common App file. In the Import + Export feature in Element451, make a copy of your Common App import and select the file from the SFTP and manually run the task to bring the record in immediately. Your files will be in the Common App history folder in your SFTP.
Can I map more than one document?
Yes! Follow along with this video (opens in a new tab) to add more documents to your document import.
